Field issue transparency – steps to build it

The most important factor while working on a construction site remains the clear flow of communication with the authorities or the supervisors. The stakeholders of the project invest a mega amount of money, time, and efforts, and thus a clear picture is a must to be conveyed to them as well as the contractors and managers.

Field Issue Transparency when not carried out with the right conduct may cause several problems. But rather than straight away targeting to impose a solution, it is important to identify the issue and then take corrective measures accordingly.

While there can be several issues with the same, here are the most prominent ones.

  • Schedule updates are not being consistent. The string can be loose from both or any end. Either from the side of the contractor or from the side of the team at the field.
  • The schedules prepared lacks the integrity of work and communication both.
  • Lack of documentation that reveals the results of delay if occurred. These documents and agreements are pre-assigned penalties for the construction company or the contractors to pay as the causation.
  • The last one is on the efficiency the team shows. In general, an inexperienced team shall be the one to ignore the importance and necessity of communication. The inexperience of the team can be a major aspect of a lack of communication or missed communication.

Corrective measures to maintain Field Issue Transparency 

Take regular meetings – Regular meetings with the labors, managers, contractors and even stakeholders will efficiently provide a clear picture of the progress. It will help in the analysis of the required efforts to be made, the issues work or the employees must be facing, and even an update on the schedule check for Pre-requisites & Post-requisites to be cleared.  

Encouraged efficient communication – Encouraging efficient communication creates a straight line of management. This helps the employees to convey their issues directly to the authorities in charge rather than getting tangled in a loop of several heads. This also helps the contractors and managers in understanding where can the issues arrive from in the near future.

Training conduction before the project starts – There are always a few freshers in a team. Or there must be people who are not aware of the style of working with a new company. Thus it is important to conduct training before the project begins. After assigning the roles and the duties to the employees, they should be given the training to save extra efforts and the risk of jeopardy if any.  

Mode of communication – Phone calls are a great medium of communication but it does not meet all the requirements of communication. For a better practice of communication, construction site software should be used. The software allows verbal communication as well as the exchange of documents and images as per the schedule.  

Check schedules – Schedule plays a major role in the construction field. If the schedule is not efficiently made or is not being followed, it has consequences. The schedule should be checked and improvised if any flaws are found. Then it should be analyzed by the stakeholders to escape any liabilities. Then the schedule should be kept in check by both ends of the contractors/managers/employers and the labors/team members/staff.

Micromanage or supervise individually – In case of delays and issues by a particular department or individual, they can be put under special supervision. Micromanagement can particularly help to overcome these issues.

Raise Alerts – Raising alerts simply means the capability of raising alert. A team member who is specific about the facts that are going to cause delays and escalation in the schedule must be capable of raising alerts. The alert when raised can even be a faux one or a misjudged one, it is then the job of the contractor to assess the employees and reach the root of the issue.
